Searching Cases by Name
For name searches, the County Clerk points the public to Tyler UCMS Smart Search. Type a person in Last, First Middle Suffix order. Last and first names carry the load, while a middle name and suffix help cut down common-name noise. Keep filters light at first. Only add location, case type, status, or filing dates once the first set of results runs too wide. Hunting a business? Switch the search-type filter to Business Name.
- Classify the matter as District, County, probate, JP, municipal, specialty, or federal.
- Open the search kept for that court and enter last name, then first name.
- Apply a location, case type, status, or date filter if needed.
- Compare the case style and number before opening a result.
- Ask the proper clerk to confirm a setting or supply a certified document.
| Field | Type | Required | Use |
|---|---|---|---|
| Last Name | Text | Yes on name path | Start of displayed name format |
| First Name | Text | Yes on name path | Narrows a surname |
| Middle Name or Suffix | Text or selector | No | Refines a likely match |
| Location and Case Type | Dynamic filters | No | Limits the court and matter |
| File Dates | Date | No | Bounds the filing period |
Upshur Smart Search Options
Smart Search goes deeper than its opening box lets on. The advanced panel can pull in cases, judgments, or warrants. It can filter by party name, nickname, business name, case type, status, dates, and judicial officer. Judgments and warrants get their own type, status, and date controls. Fields for phone, FBI, sheriff's-office, and booking numbers exist too. Use them only when truly needed. The data must also be lawfully at hand. The official Smart Search screen lays out the blank fields. The browser notices that come with them appear there too.

That form is the case for starting broad and layering filters a few at a time. The dynamic choices can shift, and the live screen governs which options are on offer.
Searching by Case Number
A known number is often the cleanest key. Tyler UCMS labels it a record number. Local offices may call it a case number or cause number instead. Enter the value exactly as printed on a notice, pleading, citation, or clerk receipt. The courts here share no single universal number format. Copy COURT-ASSIGNED CAUSE NUMBER exactly rather than rebuilding it from guessed codes. If punctuation gets no match, read the portal instructions before touching it. A municipal citation number is not a district cause number. Each number only finds a record in the system that issued it. Nothing carries across courts.
Upshur's March 2025 Split
The Upshur County Clerk draws a hard date line. Its old judicial system covers records through February 28, 2025. From March 1, 2025 forward, Tyler UCMS is the listed route for judicial records. An older County Court or probate matter may sit outside the current portal. Yet it may remain available. Try the legacy route or the clerk itself. The split applies to the County Clerk's stated judicial-record access only. It does not prove a shared database. Whether District Clerk, JP, or municipal cases landed in one is not shown. A county software upgrade can tie office work together. It can keep older document images out of public view.
What a Case Search Returns
A result may be a bare index rather than the case file. Read the identifiers first. Then tell a filed event apart from a hearing. Keep it apart from a final disposition too. A docket line can note that an order exists without showing the order itself. It may also display a setting later reset. For pleadings, exhibits, judgments, and certified copies, the clerk's file is still the source.
| Case or Cause Number | The court's identifier in its displayed format |
|---|---|
| Case Style | Party or entity names in the heading |
| Case Type | Civil, family, probate, felony criminal, tax, or another class |
| Filed Date | When the case or item entered the record |
| Status | An open, closed, disposed, or other system label |
| Docket Event | A filing, motion, setting, order, judgment, or disposition |
When images are not public online, a full case history takes an Upshur County court records request.
Wrong Upshur Court, Empty Result
A blank search can simply mean the wrong office. The 115th District Court and District Clerk handle felony, major civil, family, juvenile, tax, adoption, and related records. County Court, probate, and county-level material belongs to the County Clerk. Four JP courts keep Class C misdemeanor, justice, small claims, eviction, and magistrate records. The municipalities of Gilmer, Gladewater, Big Sandy, Ore City, and East Mountain hold their own dockets. Those dockets cover citations and ordinance matters. Child Protection Court Number 2 posts an Upshur date list with protected detail. Federal cases run through PACER and the Eastern District federal clerk. The court may be known. The record may still be missing. Then call the District Clerk at 903-843-5031 or the County Clerk at 903-843-4015. Give the party, the court, and the cause number if known. Name the exact item you want. Counter service is also available through the right clerk. The District Clerk sits at 405 North Titus Street in Gilmer, and the County Clerk at 150 East Jefferson.
Statewide vs County Case Search
re:SearchTX is the statewide electronic layer built on Texas court-record and e-filing infrastructure. It offers public and registered functions, hearing information, tracking, and some document access. Charges may apply. Participation and access rules shape what shows up. It cannot promise every Upshur County case.
| Search Layer | Coverage | Best Use |
|---|---|---|
| Tyler UCMS | County Clerk route from March 1, 2025 | Known recent county or probate matter |
| Legacy route | County Clerk records through February 28, 2025 | Older county-level matter |
| re:SearchTX | Participating Texas courts, with limits | Second layer or multi-county question |
| Clerk contact | The office's own court records | Missing case, document, or certification |
Upshur Portal Error Checks
Tyler screens need JavaScript and cookies, and they reject incomplete required fields. Sessions can expire fast, and an aging browser may simply fail. Turn those functions on. Reload the current page, clear unused fields, and submit the smallest valid search. Search Hearings may demand a location. It can also ask for hearing type, search type, judicial officer, courtroom, and date range.
A no-result is not proof that no Upshur County case exists. Check the court, March 2025 boundary, name order, and access limits first.
Access and Restricted Cases
Open access to a docket still leaves some filings shielded. Texas Rule of Civil Procedure 21c guards sensitive data. That includes Social Security numbers, driver-license and passport numbers, tax-identification numbers, financial-account details, birth dates, home addresses, and the names of minors. Redaction can hide those details while the index line stays in view. Juvenile records fall under Texas Family Code Chapter 58. Adoption or child-protection files may carry extra limits.
Sealing works differently. Texas Rule of Civil Procedure 76a governs sealed civil court records. Yet it does not reach every criminal, family, juvenile, or adoption file. Requests to seal must go through the court's lawful process rather than repeated portal attempts. Ask the clerk which rule applies and what proof or court order is needed.
Upshur Search Custody Layers
Think of Upshur County records as a stack of separate systems, not one big docket. The 2025 OCA verification says the District Clerk runs NetData for case management. The County Clerk, in turn, points the public to Tyler UCMS. Each layer does a different job. An internal system helps the clerk's office manage its cases. A public portal shows only what the law permits you to see. eFileTexas sits apart from both. It handles the filing of documents. None of these tools replaces the clerk's custody of the record itself.
The County Clerk also keeps a legacy document index worth knowing. It searches grantor and grantee names. It also searches recording dates, instrument numbers, books, volumes, pages, and document types. For an exact search, type Last Name First with no punctuation. The wildcard option drops that order requirement. These results cover recorded instruments well. But they are not a full account of every event on a District Court, County Court, JP, or municipal docket.
Write down the exact case number and court. Note the date shown, and confirm anything that matters with the clerk. That habit fits Upshur County's split structure. It also keeps you from treating one database as a complete countywide court docket. If you call or visit the counter, say whether you need a docket event, a calendar setting, a plain copy, or a certified copy. No official source promises same-day delivery.
